Forms

 

All committee chairs (and committee volunteers) must complete the mandatory volunteer paperwork for District 303 and Norton Creek. These forms can be found under the Volunteer/Register/Purchase tab of the PTO website. Please review them thoroughly before signing and submitting to the front office. Committee chairs are responsible for making sure their volunteers have completed this step in accordance with Admin policy.

 

 

Getting Started

 

Start by consulting your PTO board, these four parents are here to help make getting started easier! Your board members will help you with anything they can including (but not limited to) the facility reservation process, committee budget and reimbursement procedures, volunteer sign up forms on the website, communication protocols for This Week at The Creek/the digital marquee/morning announcements/bulletin boards/flyers/Facebook/email blasts and submission to Admin for approval as needed, etc.

Facility Reservation for Events

 

Committee Chair provides preferred event dates to the PTO board at least 6 weeks prior to ensure there is not a conflict on the PTO master calendar. The PTO Board will submit facility reservations through the D303 website on behalf of the Committee Chair. Committee Chair is to provide a schematic diagram of the requested space layout (# of tables, chairs, garbage cans and the placement of each) and any vendor COI (see below) the event will have on campus at the time of facility reservation request. The Board will update Committee Chair when the reservation request has been approved/declined.

 

 

Third Party Vendors

  

Third party vendors can be contracted to service Norton Creek events. The partnership with third party vendors requires a PTO representative/committee chair to be on-site from the vendor set up, service and through the vendor break down of the event. The Committee Chair assumes the responsibility of overseeing the third party vendors at all times while on Norton Creek property. Certificate of Insurance for third party vendor is required by D303 to be uploaded at the time of facility reservation being submitted. Event Communications
 
Event communications are the responsibility of the PTO to distribute through the many pre-approved avenues available within our systems (ie website blasts, newsletter, FaceBook). These communications are not part of the Administration's role. Committee Chairs are to submit requests for the PTO newsletter, digital sign and morning announcements to nortoncreekptopresident@gmail.com by Friday of the previous week. Submissions for Norton Creek E-News are to be sent to nortoncreekptovicepresident@gmail.com by Tuesday of the same week.
 
 
Event Fees

 

Event fees absorbed by Norton Creek families are to be determined by the Committee Chair(s) in agreement with the PTO Executive Board. Such event fees are processed through the PTO Cheddar Up account with transaction fees charged to the purchaser. The Committee Chair(s) are to contact the Treasurer at nortoncreekptotreasurer@gmail.com to set up the payment page with at least two weeks notice to the event sign up launching.

 

 

Student and Volunteer Behavior

 

All school rules apply to the behavior of students and adults during PTO events. Failure to exhibit the expected Eagle behavior can result in dismissal from the event. Please contact the PTO President immediately after such an occurrence so the appropriate actions can be taken. 

 

  

 

Budget

 

Committee Chairs are responsible for obtaining their pre-approved budget from the PTO board and maintaining the funds allotted to their committee by the Norton Creek PTO during a general meeting vote. If there are necessary expenditures in addition to the set budget the committee chair is responsible for notifying the PTO President to be added to the next general meeting agenda so a committee chair may present a budget increase request at a general meeting for a vote. Approval of the request is required in order to receive reimbursement for additional funds spent. With this in mind, it is advised to actively monitor the committee budget and notify the PTO board if your committee is nearing your budget maximum and prior to exceeding the pre-approved budget.

Committee Purchases

 
Are you making purchases for your committee at Norton Creek? Please request a copy of the tax exempt certificate by emailing nortoncreekptotreasurer@gmail.com. Use of Norton Creek PTO tax exempt certificate is strictly for items directly used in your role as Committee Chairperson for the Norton Creek PTO. Using this state issued tax exemption for any other means jeopardizes this organization's 501(C)3 status and is unacceptable. Once you have made your purchases please complete the check request form found HERE, attach your receipts and submit for reimbursement to the Norton Creek PTO Treasurer's mailbox found in the main office or submit all receipts with the check request form digitally HERE. It is important that our committees submit all of their expenses so that future budgets can be made accurately by the Norton Creek PTO Treasurer.

Policies and Protocols

 

All PTO committees, clubs, events and enrichment happen at the invitation of Administration and are not to be assumed without adhering to the policies and procedures outlined in the partnership with this organization. The Norton Creek PTO agrees to meet the expectations set by Administration in order to continue to offer our Eagle community opportunities of valued experiences for all.
